Attendees

People on an event — statuses, groups, import, and fields.

Attendees are Participant records on an event. Open Attendees to search, filter, add, import, and export.

Statuses

RSVP

Status When it is used
unconfirmed Default. No response yet
confirmed Accepted / registered
declined Said no
waitlisted On a waitlist
pending_approval Form requires approval

Check-in

Status Meaning
not_checked_in Default
checked_in On site
checked_out Left (if check-out is used)

Each attendee also has a QR code used by staff check-in, kiosks, and the Event App.

Core fields

Always present on the person:

  • First name, last name, email
  • Phone (stored and returned as E.164)
  • Job title, company
  • Registration type (exclusive group)
  • Custom field answers from the form

Registration types and groups

Registration types are exclusive groups. An attendee belongs to at most one. They drive form variants, ticket mapping, Event App access, and badge fields.

The Attendees sidebar lists All attendees, then each exclusive group with a live count.

Non-exclusive groups also exist for segmentation (email, exports) without changing the person’s registration type.

Add people

  • Add attendee — create one record
  • Import — CSV with column mapping and an error download
  • Public form — people register themselves
  • API — create/update via API v2
  • Eventbrite — import/sync mapped attendees

Exports

Use the attendee export from the list. Imports keep a history; you can download the original file and rows that failed.

Event App access

Attendees who are pending_approval, declined, or waitlisted are not treated as eligible Event App users. Confirmed / unconfirmed people can sign in when the app’s access mode allows it.
